Simstac Systems Ltd, a company registered in England and Wales with company number 17030554 and registered office at Lincoln Cottage, Pine Grove, Windlesham, England, GU20 6AW ("Simstac Systems", "we", "us", or "our"), is committed to protecting your privacy.
This Privacy Policy explains how we collect, use, store, and protect personal data when you use:
- Simstac Systems mobile application software ("App")

- our web-based administration dashboard or client portal ("Admin Portal")
- our augmented reality experiences, training experiences, support services, and related documentation ("Services")

2. Our role
For the purposes of applicable UK data protection law, including the UK General Data Protection Regulation and the Data Protection Act 2018, Simstac Systems Ltd is the data controller for personal data we collect through the App, Website, Admin Portal, and Services.
Where access to the App or Services is provided by an employer, client, training provider, or organisation, that organisation may also control certain information relating to user access, training assignment, progress, and completion.
3. Information we collect
We only collect information that is necessary to provide and manage the App, Website, Admin Portal, and Services.
3.1 Account and contact information
We may collect personal information that you or your organisation provide to us, such as: name; email address; company or organisation name; role or job title; account login or access details; messages or support requests sent to us.
We use this information to create and manage accounts, provide access to the Services, respond to enquiries, and provide support.
3.2 App and experience information
When you use the App, we may collect information necessary to provide the AR experience, such as: experiences assigned or accessed; session start and completion status; training progress, results, or completion records, where applicable; responses or actions taken during an experience, where the experience requires it.
3.3 Admin Portal information
When an authorised administrator uses the Admin Portal, we may collect and process information such as: administrator name and email address; organisation name; user invitations and account status; assigned experiences or training modules; user progress, completion records, and reports; organisation settings and support requests.
3.4 Camera and AR ground-scanning permission
The App uses your device camera and AR functionality so that you can scan the ground or nearby surfaces and place AR content in your real-world environment. Camera access and AR scanning are used to detect a suitable surface, place AR content on the ground or surface, keep AR objects stable during the experience, and allow you to interact with the AR experience.
Camera input and AR surface scanning are used for App functionality only. We do not store raw camera feeds, videos, photos, biometric data, or detailed spatial maps on our servers unless a feature clearly asks you to upload or submit such content. The App does not use camera or AR scanning data to identify you.
4. Information we do not collect
Simstac Systems does not collect cookies through the App or Website. We do not collect device information such as device model, operating system, advertising identifiers, or device identifiers for tracking purposes. We do not sell personal data. We do not share personal data with third parties for advertising, marketing, or tracking. The App is not intended for children.
5. How we use personal data
We use personal data only where necessary to: provide and operate the App, Website, Admin Portal, and Services; create and manage user accounts; allow users to access assigned AR experiences; allow authorised administrators to manage users and experiences; record progress and completion where applicable; respond to enquiries and support requests; maintain security and prevent unauthorised access; comply with legal obligations.
6. Legal basis for processing
We process personal data on the following legal bases: Performance of a contract, where processing is necessary to provide the App, Admin Portal, and Services; Legitimate interests, where processing is necessary to operate, secure, support, and improve our Services; Legal obligation, where we are required to process or retain information to comply with applicable laws; Consent, where consent is required, such as for camera permission or any optional feature that requires your permission.
7. Sharing of information
We do not sell personal data. We do not share personal data with third parties for advertising, marketing, or tracking. We may share limited information only where necessary: with authorised administrators of your organisation, where your access is provided by that organisation; with service providers who help us operate the App, Website, Admin Portal, or Services; where required by law, regulation, court order, or lawful authority; where necessary to protect the rights, safety, or security of Simstac Systems, our users, or our Services.
8. Organisation access to user information
If your access to the App or Services is provided by an employer, client, training provider, or other organisation, authorised administrators of that organisation may be able to view relevant information such as: your account status; assigned experiences; whether you accessed or completed an experience; training progress, results, or completion records, where applicable.
9. Data storage and security
We take reasonable technical and organisational measures to protect personal data from unauthorised access, loss, misuse, alteration, or disclosure. Access to the Admin Portal is restricted to authorised users. No system is completely secure, so users are responsible for keeping login details confidential and using the App, Website, and Admin Portal responsibly.
10. How long we keep personal data
We keep personal data only for as long as necessary to provide the Services, manage accounts, support organisations, comply with legal obligations, resolve disputes, and maintain security. You may request deletion of your personal data by contacting: hello@simstacsystems.com. Where deletion is requested and no legal or contractual reason requires us to keep the data, we will delete or anonymise the relevant personal data within 30 days.
11. Account deletion
You may request account deletion by contacting: hello@simstacsystems.com. If your account is managed by an employer, client, training provider, or organisation, we may need to coordinate the request with that organisation where required. Deleting your account may remove access to the App, Admin Portal, assigned experiences, and related Services.
12. Your rights
Depending on where you are located and applicable law, you may have rights to: access the personal data we hold about you; request correction of inaccurate information; request deletion of your personal data; object to or restrict certain processing; withdraw consent where processing is based on consent; request a copy of your personal data; lodge a complaint with a data protection authority.
